About

Implementing a new HR Information System (HRIS) is about much more than configuring software. It requires time, planning, coordination and informed decision-making from your organisation throughout the project.

At Proactive HR, we help organisations select, implement and optimise HR Information Systems. We believe your HRIS should support the way your business operates, not force your business to adapt to the system. Rather than replacing your software implementation partner, we work alongside your team, providing additional project capacity, HRIS expertise and practical guidance to help achieve a successful outcome.

Our support is tailored to your organisation and may include HRIS selection, mapping current HR processes, preparing and validating HR data, coordinating implementation activities, testing the system, supporting change management and helping ensure your HRIS is configured to support your people and your business.

We understand that many organisations have capable HR teams but limited capacity to manage a major implementation alongside their day-to-day responsibilities. By providing additional project capacity throughout the implementation, we help keep projects moving, reduce pressure on internal teams and minimise the risk of costly delays or missed opportunities.

Our involvement doesn't end at go-live. We also help organisations review and optimise their HRIS, identify opportunities to improve system utilisation, streamline HR processes and ensure their investment continues to deliver value as the organisation grows and evolves.

Whether you're selecting your first HRIS, replacing an existing system or looking to get more from your current platform, our goal is simple: to help you build an HR Information System that supports your people, strengthens your HR processes, and delivers lasting value to your organisation.

HRNZ Q/A

Describe your product or service and what it delivers:

Proactive HR helps organisations select, implement and optimise HR Information Systems (HRIS). We work alongside your team, providing practical expertise and additional project capacity to support successful HRIS projects, to help you realise greater value from your HRIS investment and ensure your HR technology supports the way your business actually operates.

What size business or organisation does your product/ service suit?

Our services are best suited to small and medium-sized organisations, although we also support larger organisations requiring additional HRIS expertise or implementation capacity. We typically work with organisations that have dedicated HR support but limited internal capacity to manage HRIS projects alongside day-to-day responsibilities. Whether you're implementing your first HR Information System, replacing an existing platform or looking to optimise your current HRIS, our support is tailored to your organisation's size, complexity and business objectives.

What kinds of organisations may be interested in your product/ service?

Our services support organisations across a wide range of industries and both the public and private sectors. We work with organisations planning an HRIS implementation, evaluating HR technology options or looking to get more value from their existing HR system. Successful HRIS projects require more than software configuration. They also require planning, quality HR data, well-designed processes and effective change management. Whether you're implementing a new platform, expanding system functionality or optimising an existing HRIS, we provide practical support to help maximise the value of your investment.

How long has your product/ service been on the market?

Proactive HR was established in early 2025, building on more than 20 years of practical, in-house HR experience across a range of industries in both New Zealand and overseas. Our HRIS services draw on extensive experience working with HR systems, leading HR projects and helping organisations strengthen the systems and processes that support their people.

What does your standard product cost?

Every organisation is different, so our services are tailored to the scope and complexity of each engagement. We offer both fixed-price project work and hourly consulting, depending on the nature of the engagement. Projects may include HRIS selection, implementation support, optimisation reviews, HR process mapping or post-implementation improvement work.

Where appropriate, we'll provide a fixed-price proposal with clearly defined deliverables. Other engagements may be delivered on an hourly basis or through an ongoing support arrangement, depending on your requirements.

Our focus is on providing practical, right-sized support that aligns with your project requirements and internal capability.

Is your product an off the shelf solution, or does it require customisation?

Our services are fully tailored to each organisation.

Rather than applying a one size fits all approach, we take the time to understand how your organisation operates, map your current HR processes and identify the level of support required to achieve a successful implementation.

We believe technology should support the way your business actually operates, not force your business to adapt to the technology.

Some organisations require strategic advice during HRIS selection, while others need additional project capacity during implementation or support to optimise an existing HR Information System. Every engagement is designed around your objectives, internal capability and chosen HR platform, ensuring our support complements both your team and your software implementation partner where applicable.

How long does your product take to implement? How does customisation impact this?

Implementation timeframes vary depending on the HR platform, the size and complexity of the organisation, the level of configuration required and the internal resources available.

We work alongside your organisation and your software implementation partner to help coordinate the activities that sit with the client throughout the project.

Our support may include HR process mapping, HR data preparation and validation, implementation planning, testing, stakeholder coordination, change management and post-go-live readiness.

Because every organisation is different, there is no standard implementation timeframe. Some engagements involve targeted support over a few weeks, while others continue throughout a multi-month implementation programme.

Our role is to help keep projects moving, reduce pressure on internal HR teams and ensure the organisation is well prepared for each stage of implementation. By providing additional project capacity and practical HRIS expertise, we help organisations maximise the value of their HR technology investment and reduce the risk of avoidable delays or implementation issues.

What is your post-implementation support? Are there costs to this or is the up-front cost inclusive of additional support?

Many organisations discover the greatest opportunities come after implementation, once employees begin using the system and new ways of working become embedded. We help organisations review and optimise their HR Information System to ensure it continues to support the needs of the business over time.

Where post implementation support forms part of the agreed scope, support may include reviewing workflows, improving system utilisation, refining HR processes, identifying additional functionality, improving reporting and supporting future enhancements.

Support can be scoped as part of the initial engagement or tailored to your organisation’s ongoing needs, depending on the level of assistance required.

Would you be able to provide example customers/ organisations who would be willing to allow site-visits for potential customers to view a demonstration of the product or service in action?

Yes. Subject to client approval, we're happy to provide relevant client references where appropriate. Our experience spans organisations across both the public and private sectors, and we will always seek permission before sharing client details or arranging conversations with prospective clients.
