Workforce Advisor

Otago Advisor

About

Pact is a leading provider of community, vocational and residential services for people with intellectual disabilities, mental health challenges and addictions. Our Head Office team in Dunedin supports operations across Southland, Otago, the West Coast, the Upper South Island and the Lower North Island.

Pact is growing fast, with new services and more demand across several regions. To keep up, we’re looking for a proactive, highly organised and people-focused Workforce Advisor to run end-to-end recruitment and help us bring great people into the organisation. This role is key to ensuring we have the right people on the frontline, providing high-quality support to the people we serve.

The Role

This is a compliance-driven role, and getting the detail right matters. Every check, contract and record you handle helps keep the people we support safe and keeps Pact audit ready.

In this role, you’ll be a professional, supportive partner to our leaders. You’ll meet them where they’re at, build their confidence with our processes, and guide them through the ups and downs of hiring and onboarding. Sometimes that means explaining a process once; sometimes it takes 14 times. Either way, we keep showing up with kindness and patience.

Key Responsibilities

  • Coordinate the end-to-end recruitment process
  • Prepare and post job advertisements
  • Pre-screen candidates
  • Manage candidate communication and interview scheduling
  • Prepare accurate employment offers and onboarding documentation
  • Complete and track pre-employment and ongoing compliance checks
  • Support induction and orientation for new staff
  • Keep workforce records and employee files accurate, complete and audit-ready
  • Enter and update employee information in HR systems
  • Manage the workforce inbox and triage queries
  • Track performance appraisal dates and send reminders
  • Support the administration of internal policies
  • Give professional, supportive workforce advice to managers and staff

About You

This is a great opportunity for someone with experience in recruitment, HR coordination or workforce administration. It would also suit a recent HR graduate (or similar) who’s ready to take the next step and build their recruitment and onboarding skills in a fast-paced environment.

You’ll thrive in this role if you:

Have a sharp eye for detail and take pride in getting things right

  • Are comfortable working within compliance requirements and following processes carefully
  • Are highly organised and can juggle competing priorities
  • Communicate confidently and professionally with staff, managers and external partners
  • Are approachable, supportive and discreet with sensitive information
  • Stay calm and steady in a fast-paced environment with shifting demands
  • Know when to stop for a chat and when to put your head down
  • Want broad HR experience in a medium-sized NGO where your work makes a real difference

Skills & Experience

  • Experience in administration, coordination or recruitment
  • Excellent written and verbal communication skills
  • Accurate data entry and record-keeping
  • Proficiency in Microsoft Office
  • Ability to prioritise and meet deadlines
  • A positive, solutions-focused approach

Why Join Us?

You’ll join a hardworking, tight-knit Workforce Team that thrives on collaboration, continuous improvement and a good laugh along the way. We take our work seriously, but we don’t take ourselves too seriously, so a good sense of humour is very welcome.

You’ll get hands-on experience across recruitment and HR, with plenty of chances to grow your skills and make a real contribution across the organisation.

Please note: you must be available for an in-person interview in Dunedin.
