Workforce Administrator (Training/Systems)

Otago Administrator

Workforce Administrator

Are you the type of person who notices when something doesn't quite add up?

Maybe you’re naturally organised, enjoy figuring out how systems work, and get satisfaction from making things run smoothly. You might come from administration, customer service, coordination, recruitment, training or something completely different.

What matters most to us isn’t a specific qualification or HR background. We're looking for someone with the right attitude; someone who’s curious, proactive, pays attention to detail and genuinely cares about helping people.

As our Workforce Administrator, you’ll play an important role behind the scenes, helping make sure our workforce systems, training programmes and people processes work the way they should. You’ll help coordinate a new training pathway for our support workers, keep information accurate and organised, and support projects that improve the way we work.

You’ll join a supportive Workforce team, and there is opportunity to grow your skills across HR, recruitment, onboarding, systems and workforce coordination.

About the role

Reporting to the General Manager Workforce, you’ll help keep our workforce systems, data and training programmes running smoothly.

This role combines administration, coordination and problem solving. One day you might be organising training, the next improving a process, cleaning up data, or helping solve a system issue.

You don’t need to be a systems expert. If you're comfortable learning new systems, enjoy improving processes, and aren't afraid to ask questions and figure things out, we’ll support you to learn the rest.

What you'll be doing

  • Coordinating training and keeping programmes on track
  • Maintaining accurate employee records and data
  • Supporting workforce systems including ELMO and Humanforce
  • Running reports and checking information for accuracy
  • Organising training schedules, venues and communications
  • Supporting projects that improve systems and processes
  • Helping ensure workforce compliance requirements are met
  • Providing administrative support across the Workforce team
  • Over time, expanding into recruitment and onboarding activities

What we're looking for

You’ll likely be someone who:

Enjoys organising information and keeping things on track

  • Has strong attention to detail and notices when something isn't right
  • Learns new systems quickly and enjoys figuring out how things work
  • Communicates professionally and builds positive relationship
  • Takes ownership and follows tasks through to completion
  • Looks for ways to improve processes rather than working around problems
  • Can juggle competing priorities without losing sight of the details
  • Understands the importance of handlining confidential information appropriately
  • Genuinely cares about supporting people and making their experience a positive one

Experience in administration, coordination, training, recruitment, HR or a similar environment would be helpful, but it's not essential. We want someone who knows that our people are the reason we’re here and acts like it. That means caring about the details, following things through and helping make sure our systems and processes support people.

Why Join Us?

We’re a hardworking team that genuinely enjoys working together. We’re looking for someone who cares about getting the details right because they understand there are real people behind every process and system.
If that sounds like you, we’d love to hear from you.

Please note: applicants must be available for an in-person interview in Dunedin.

Applications close: Friday 18th September.
